Today’s Credit Play isss…. Turning Voicemails Into Your Secret Weapon – Part 1: WHY VOICEMAIL IS YOUR MOST WASTED TOOL
Did you know the callback rate for a business to business voice mail message is less than 5%? That means 19 of 20 messages NEVER get a call back, and yet, messages get left all day everyday…….BUT WHY?
Most people view voicemail messages as consolation prizes, where they represent a quick notification in lieu of a live conversation and THAT RIGHT THERE, is why callback ratios are awful. If you want voicemail to be your secret weapon, you need to realize they only have two basic roles…..”TO GIVE NOTICE” and “TO SUMMONS” and both need to be used correctly.
“NOTICES” are a simple message intended to set up a more important call down the road. Notices don’t ask for a callback, they’re concise and clear. They include typical phrases like “I need to inform you” or more cautionary like, “This could affect your team”, or even a tad commanding like “This deserves your review”.
“SUMMONS” is the message that NEEDS a call back and if we want to improve our callbacks from 1 out of 20, we better understand HOW you should leave a message and WHAT you say on that message.
Before you watch the rest of my series on how to turn voicemails into your secret weapon, walk down to your own AP department and ask three simple questions.
Question #1 issss “What type of messages do you delete and why?”
Question #2 issss “What type of messages do you pass along to someone else and why?”
Question #3 issss “What type of messages do you earmark as critical, and why?”
In the following parts of this series, we will go over specific tools and techniques that help you create voicemail messages that will increase your call back rates and be much more effective overall.
Now that we’ve covered WHY you need to reframe your approach to voicemail, I want to give you more strategies and techniques to make your voicemails WAY more effective…. in Part 2 we’ll talk about the 15 second message that will increase your callbacks dramatically.
